Sharing Reports and Sending Invites

SwiftReporter sharing reports

SwiftReporter lets you securely share inspection reports with clients and partners directly from the inspection details screen.

Before you send the report, you can also share a free Client What-to-Expect one-pager or a home inspection prep checklist so clients know what happens next.

Before you begin

Sharing requires the same access as a watermark-free PDF:

  • A report credit has already been used for this inspection, or
  • You have an active or trial subscription that includes reports (All-in-One, or an existing Basic or Pro plan)

A Paid invoice or Paid badge means your client paid you for the job. It does not unlock sharing. There is no watermarked-preview option for share; you must use a credit or have a qualifying subscription.

When you click Use 1 Credit, SwiftReporter uses one credit for that inspection. Creating a new inspection does not copy unlock from another inspection.

iPhone: If the inspection is not already unlocked, tap Share to see Sharing Not Available on iOS. The message is: "Sharing is not enabled on iOS. Sign in at app.swiftreporter.com to share reports." Click Open app.swiftreporter.com to continue on the web, or Close. If a credit is already used or you have a qualifying subscription, Share opens in the app.

Opening the Share Report Tools

  1. Open an inspection: From the Inspections list, select the inspection you want to share.
  2. Use the Share Report button: In the inspection details header, click Share Report to open the sharing modal. If a credit is required, the Report Payment Required modal opens first. Click Use 1 Credit (N remaining after), Subscribe for Unlimited Reports, or Purchase More Report Credits.
  3. Owner only: The Share button is visible only when you are the owner of the inspection.

Sending Report Invites

In the Share modal you can invite one or more recipients to view the report:

  • Enter the client's email address (and optional message, if supported by your account configuration).
  • Confirm to send an invite email containing a secure link to the report.
  • If the recipient does not yet have a SwiftReporter account, they are guided through a simple sign-in or sign-up flow as a viewer.

Once invited, the inspection will appear on the Shared Inspections page for the viewer, and in your Shared Inspections list as a report you have shared.

Viewer Permissions

Invited viewers have a read-only experience:

  • They can open the shared inspection and view the full report, including categories, observations, notes, and photos.
  • They cannot modify observations, templates, or settings.
  • Download permissions for PDFs follow the same rule as sharing: a used report credit for that inspection, or an active or trial reports subscription. A Paid job badge does not grant download.

Managing Shared Access

From the Shared Inspections page you can see how many people each inspection is shared with. Depending on your account and future updates, the Share modal may also expose controls to:

  • Re-send an invite to a client.
  • Stop sharing an inspection with specific recipients.

These controls allow you to keep access aligned with your current clients and projects while keeping the sharing workflow simple.

Troubleshooting

  • If you see Report Payment Required, use a credit or subscribe. A Paid job badge does not unlock sharing.
  • On iPhone, if you see Sharing Not Available on iOS, sign in at app.swiftreporter.com to share.
