Sharing Reports and Sending Invites
SwiftReporter lets you securely share inspection reports with clients and partners directly from the inspection details screen.
Opening the Share Report Tools
- Open an inspection: From the Inspections list, select the inspection you want to share.
- Use the Share Report button: In the inspection details header, click the Share button to open the sharing modal.
- Owner only: The Share button is visible only when you are the owner of the inspection.
Sending Report Invites
In the Share modal you can invite one or more recipients to view the report:
- Enter the client's email address (and optional message, if supported by your account configuration).
- Confirm to send an invite email containing a secure link to the report.
- If the recipient does not yet have a SwiftReporter account, they are guided through a simple sign-in or sign-up flow as a viewer.
Once invited, the inspection will appear on the Shared Inspections page for the viewer, and in your Shared Inspections list as a report you have shared.
Viewer Permissions
Invited viewers have a read-only experience:
- They can open the shared inspection and view the full report, including categories, observations, notes, and photos.
- They cannot modify observations, templates, or settings.
- Download permissions for PDFs are controlled by your subscription and report payment status.
Managing Shared Access
From the Shared Inspections page you can see how many people each inspection is shared with. Depending on your account and future updates, the Share modal may also expose controls to:
- Re-send an invite to a client.
- Stop sharing an inspection with specific recipients.
These controls allow you to keep access aligned with your current clients and projects while keeping the sharing workflow simple.
