Signing and Downloading Inspection PDFs
Use this guide when an inspection report needs signatures before you deliver the final PDF.
Before you begin
- Make sure the inspection report content is ready.
- Confirm the inspection has the correct contacts attached if customers or other parties also need to sign.
Inspector workflow
- Open the inspection.
- Use the main report action on the inspection page.
- The action may show one of these labels:
- Sign and Download
- Download PDF
- Download Signed PDF
- Download
- If you see Sign and Download, complete the inspector signing step in the signing modal.
- After signing finishes, download the PDF when SwiftReporter makes the signed copy available.
When to use Sign and Share
Use Sign and Share when other people still need to sign the inspection.
- Open the inspection.
- Click Sign and Share.
- Follow the sharing and signing steps for the required recipients.
- Wait for the remaining signers to finish before treating the inspection as fully signed.
Viewer workflow in the customer portal
Portal viewers can sign or download from the portal without waiting for an email link.
- Sign in to the customer portal.
- Open the Inspection signatures section on the dashboard.
- Use the action SwiftReporter shows for that inspection:
- Review inspection
- Sign now
- Download signed PDF
- If the inspection also appears on Shared inspections, you can use the same signing or download action from there.
What happens next
- If all required signers are finished, SwiftReporter makes the signed PDF available for authorized users.
- If the report is edited after signing, SwiftReporter can require a fresh signing round for the updated version.
- If a signed copy already exists, SwiftReporter may show Download instead of reopening signing.
Troubleshooting
- If signing finishes but the download does not start right away, wait a few seconds and try again.
- If you no longer see Sign now, the inspection may already be signed, may need new signatures, or your viewer account may not be the signer for that step.
- If SwiftReporter says the report changed after signing, start a new signing round from the updated inspection.
- If a signed PDF is not ready yet, do not keep retrying immediately. Wait briefly, then download again.
