Shared Inspections and Viewer Access

The Shared Inspections feature gives clients and other stakeholders read-only access to finished or in-progress reports without exposing your full workspace.

Viewer Accounts

When you share a report, SwiftReporter creates or uses a viewer account for the recipient. Viewer accounts are designed specifically for report consumption:

  • Read-only access: Viewers can open shared inspections and read the full report.
  • No editing: Viewers cannot change observations, templates, or settings.
  • Limited navigation: Viewer navigation focuses on shared inspections and reports, not authoring tools.

The Shared Inspections Page

The Shared Inspections page lists inspections that are shared with or by the current user:

  • For viewers: The page title shows Shared Inspections with a description indicating that these are reports shared with them for viewing only.
  • For inspectors/owners: The same page lists inspections that you have shared with others, including how many people each inspection is shared with.

Each shared inspection card shows key information:

  • Inspection name
  • Template name used for the report
  • Created/updated dates
  • Observation count

Selecting a card opens the read-only report view for that inspection.

What Viewers See

When a viewer opens a shared inspection:

  • They are taken directly to the report view for that inspection.
  • The report structure matches your template (categories, subcategories, observations, notes, and media).
  • Any sharing- or subscription-related restrictions (such as download availability) are enforced automatically by the web app.

Viewers do not see your template editor, comment library, or other authoring tools. Their experience is streamlined around reading and understanding the shared report.

Inspector Experience

As the report owner, you can access the same inspection from the Inspections page. From there you can:

  • Edit observations and report content.
  • Open the Complete Report editor or template Edit mode.
  • Use the Share Report tools to add or remove recipients.
