Archiving Inspections

SwiftReporter inspections list with Active and Archived

Archive completed or inactive inspections so they leave the Active list but stay available under Archived. You can restore an archived inspection at any time. Permanent delete is a separate owner-only action and is available only from Archived.

Before you begin

  • You can archive or restore an inspection if you own it or are assigned as an inspector on it.
  • Only the inspection owner can permanently delete an archived inspection. Delete is hidden for everyone else.
  • Permanent delete cannot be undone. You must be online. It is not available from Active.

Archive an inspection

On web and mobile, archive from the Inspections list or from the inspection hub. On mobile, Archive and Restore are visible row actions (not swipe-only).

From the Inspections list

  1. Open Inspections.
  2. Stay on Active.
  3. Choose Archive for the inspection.
  4. Confirm when prompted. After you confirm, you can undo to restore.

Active cards show Archive. Archived cards show Restore and hide Complete.

From the inspection hub

  1. Open the inspection.
  2. Choose Archive (on mobile, after Share).
  3. Confirm when prompted. After you confirm, you can undo to restore.

The inspection leaves Active and appears under Archived. The hub shows an Archived pill.

Find archived inspections

  • On Inspections, switch between Active and Archived.
  • On web, open Archived in the sidebar (it sits after Inspections), or Archived Inspections in the account menu.
  • On mobile, open Archived Inspections in the navigation menu.

Dashboard Recent Activity lists active inspections only.

Restore an inspection

  1. Open Archived (from Active | Archived on Inspections, or from the sidebar/nav).
  2. Choose Restore.
  3. Confirm when prompted.

The inspection returns to the Active list. You can restore it at any time.

Permanently delete an inspection (owners only)

Permanent delete is available only while the inspection is archived. It is not available from Active, and it is not available offline.

  1. Open Archived, or open the archived inspection hub.
  2. Choose Permanently delete (web) or Delete (mobile). Non-owners do not see this action.
  3. Confirm:
    • Web: Type the inspection name exactly, then choose Permanently delete. If the inspection is published, paid, or shared, web shows an extra warning.
    • Mobile: Confirm in the alert that appears.

This removes the inspection and its content: observations, photos, audio, video, forms, shares, and portal access. Appointments, invoices, and contracts are unlinked, not deleted. Shared viewers lose access to that inspection. This cannot be undone.
