Managing Invoices on Mobile
Use this guide to create, review, and manage invoices from the mobile app.
Before you begin
- You need Back of House access.
- You must finish Stripe Connect setup on the web before mobile invoice actions are enabled.
Open the Invoices screen
- Open the mobile app.
- Go to Invoices.
If SwiftReporter shows Back of House Required, tap Learn More to review the upgrade path.
If SwiftReporter shows Connect Stripe to Send Invoices, tap Open Account Settings and finish Stripe Connect on the web first.
Understand the dashboard
The mobile Invoices screen includes:
- This Month for successful payments in the current month
- This Year for successful payments in the current year
- Open for the current open-invoice count and total
- Unpaid Invoices for invoices that still need attention
- History for your full invoice list
In History, you can search with Search invoices... and filter by:
- All
- Draft
- Open
- Paid
- Void
Create an invoice
- Open Invoices.
- Tap Create.
- Fill in the invoice details.
- Choose Save Draft if you want to finish later, or Save & Send if the invoice is ready now.
Manage an existing invoice
- Open the invoice from Unpaid Invoices or History.
- Use the available action for that invoice:
- Edit
- Resend
- Cancel Invoice
Depending on the invoice state, SwiftReporter can also let you unlink it from the related inspection or appointment when you cancel it.
What happens next
- Draft invoices stay in your list until you send or cancel them.
- Open invoices stay visible in Unpaid Invoices until they are paid or voided.
- Paid invoices remain in History.
Troubleshooting
- If the mobile app will not let you send invoices, confirm Stripe Connect is fully completed on the web.
- If you cannot find an invoice, use the search field and the status filters.
- If No invoices match. appears, clear the search or switch the filter.
- If an invoice action fails, refresh the screen and try again.
