Invoices

The Invoices feature lets you create invoices and collect payments from customers through secure payment links. Payments are processed by Stripe and paid out to your connected Stripe account.

Before you can invoice

  1. Go to Account Settings.
  2. In the Invoices section, connect Stripe (Stripe Connect onboarding).
  3. Make sure your business address is filled in (required before connecting Stripe).
  4. Set your default payment policy (when payment is due and whether payment is required before starting/releasing the report).

The Invoices dashboard

  • Summary cards: monthly gross, yearly gross, open invoice count, and open invoice total.
  • Unpaid invoices: see what’s currently open and follow up quickly.
  • Invoice history: a complete record of paid/open/void invoices.

Create an invoice

  1. Click Create Invoice.
  2. Add line items (description and amount).
  3. Select which contacts should receive the invoice.
  4. Optionally link the invoice to an appointment or inspection.
  5. Save the invoice (you can send it immediately or later).

Send an invoice (how customers pay)

When you send an invoice, SwiftReporter delivers a secure payment link by email/SMS. Customers open the link and pay using a Stripe-powered payment form. The invoice updates automatically when payment succeeds.

Invoice status

  • Draft: created but not sent.
  • Open: sent and awaiting payment.
  • Paid: payment received and confirmed.
  • Voided: canceled and no longer payable.

Payment policies

Your default policy controls behavior like deposits, due timing, and enforcement.

  • Require payment before work starts: helps prevent day-of issues by prompting reminders/escalation when unpaid.
  • Require payment before releasing the report: customers can’t download the report until the invoice is paid.

Troubleshooting

  • Invoices page says not enabled: complete Stripe onboarding in Account Settings.
  • Stripe needs more info: return to Account Settings and complete Stripe requirements.
