Adding Signature Placeholders to Templates
Use this guide when you want a form PDF template to include signature, initials, or date fields for inspectors or contacts.
Before you begin
- Open Templates on the web.
- Save the template first.
- Upload the blank form PDF before you start placing signature fields.

Open the placement tool
- Open the template you want to edit.
- Open the form PDF layout tool.
- In the left sidebar, find Field placement.
Add a signature placeholder
- In Standard field, open the dropdown.
- Choose the placeholder you want.
- Click Add field.
- Click on the PDF where that placeholder should appear.
SwiftReporter groups signature-related placeholders under:
- Signature placeholders
- Initials placeholders
- Date placeholders
Choose the signer role
Signature-related placeholders are available for these signer roles:
- Inspector
- Primary customer
- Additional customer
- Agent
- Seller
- Other signer
Pick the exact role you want before you place the field on the PDF.
⚠️ Use only the roles in this list. These are the signer roles SwiftReporter supports end-to-end for signing and downloads. Custom role names typed in elsewhere aren't part of the supported set and can cause signing sessions that never complete, viewers being asked to sign the wrong block, or signed-PDF downloads that don't return the expected artifact. If a role you need isn't in the dropdown, pick the closest supported role rather than inventing a new one.
Move and resize the placeholder
After you place the field:
- Click the placeholder to select it.
- Drag it to move it.
- Use the corner handles to resize it.
SwiftReporter uses a dedicated signature box for signature-related placeholders, so resize the field until it matches the space you want the signer to use.
What happens next
- SwiftReporter keeps the placeholder as part of the template layout.
- When that template is used for signing, the signer sees their field in the position you placed.
- If you change placements later, use the updated template layout before generating or signing the next PDF.
Troubleshooting
- If Add field is disabled, choose a value in Standard field first.
- If the PDF is missing, upload the blank form PDF before you try to place signature fields.
- If the wrong signer field was placed, delete that marker and add the correct role.
- If the field is too small or too large, select it and resize it with the corner handles.
