Downloading the Report

After you finish reviewing an inspection, you can download one of several PDF types:

  • The main inspection report PDF
  • A signed PDF after the signing workflow finishes
  • A form PDF for any attached supplementary form

Before you begin

  • Open the inspection you want to export.
  • If the inspection requires signatures, decide whether you need to sign first, share for signing, or simply download the current PDF.

Download the main inspection report PDF

  1. Open the inspection.
  2. Use the report download button shown on the inspection page.
  3. The button label changes with the inspection state. You may see:
    • Download PDF for a standard report download
    • Download Signed PDF when a signed copy is already ready
    • Download when SwiftReporter is using the latest signed copy
    • Sign and Download when you need to complete inspector signing before downloading
  4. Save the file when your browser, device, or share sheet opens.

Videos in the PDF: Video items appear as thumbnails with a play-style overlay. Those thumbnails are links that open the online web report in a browser so the recipient can watch the video; video does not play inside the PDF file itself.

If SwiftReporter asks for payment

For the main inspection report PDF, SwiftReporter may open a payment modal before it generates an unwatermarked file.

  • If you have report credits, you can use one credit.
  • If your plan covers the export, continue with the covered download path.
  • If you do not want to pay yet, you can download with a watermark.
  • If you need more credits or a plan change, use the path to your account area.

A watermarked main report PDF is a preview. The layout stays the same, but the photo content is intentionally limited and marked so it is not a substitute for a paid export.

Signed PDFs

If the inspection has already been signed, SwiftReporter prefers the signed copy when it is ready.

  1. Open the inspection or shared inspection.
  2. Click Download Signed PDF or Download when the signed copy is available.
  3. If the report was edited after signing, SwiftReporter may require a fresh signing round before the new version can be treated as signed.

Form PDFs

Form PDFs are separate from the main inspection report.

  1. Open the inspection.
  2. Open the Forms card.
  3. Open the attached form you want.
  4. Download or review that form PDF from the form view.

Form PDFs do not use the same watermarked-preview rules as the main inspection report PDF.

Customer portal and shared inspections

If you are a portal viewer or shared-inspection recipient:

  1. Open the customer portal or the shared inspection page.
  2. Use Review inspection, Sign now, or Download signed PDF depending on what SwiftReporter shows for that inspection.

Troubleshooting

  • If the button still says Sign and Download, complete the signing step first.
  • If a signed PDF is not ready yet, wait a few seconds and try the download again.
  • If you see a message that the report changed after signing, start a new signing round for the updated version.
  • If you only need a preview of the main report, use the watermarked option instead of consuming a credit.
