Downloading the Report
After you finish reviewing an inspection, you can download one of several PDF types:
- The main inspection report PDF
- A signed PDF after the signing workflow finishes
- A form PDF for any attached supplementary form
Before you begin
- Open the inspection you want to export.
- If the inspection requires signatures, decide whether you need to sign first, share for signing, or simply download the current PDF.
Download the main inspection report PDF
- Open the inspection.
- Use the report download button shown on the inspection page.
- The button label changes with the inspection state. You may see:
- Download PDF for a standard report download
- Download Signed PDF when a signed copy is already ready
- Download when SwiftReporter is using the latest signed copy
- Sign and Download when you need to complete inspector signing before downloading
- Save the file when your browser, device, or share sheet opens.
Videos in the PDF: Video items appear as thumbnails with a play-style overlay. Those thumbnails are links that open the online web report in a browser so the recipient can watch the video; video does not play inside the PDF file itself.
If SwiftReporter asks for payment
For the main inspection report PDF, SwiftReporter may open a Report Payment Required modal before it generates a watermark-free file. A Paid invoice or Paid badge on the inspection means your client paid you; it does not skip this step.
- If a credit has already been used for this inspection, or you have an active or trial reports subscription (All-in-One, or an existing Basic or Pro plan), the PDF is generated without the modal.
- If you have report credits, click Use 1 Credit (N remaining after).
- Click Download with Watermark (Free) for a preview without using a credit.
- Click Subscribe for Unlimited Reports or Purchase More Report Credits (on mobile with no credits: Purchase Report Credits) to open your account area.
A watermarked main report PDF is a preview. The layout stays the same, but photos are limited and the PDF displays UNPAID REPORT (web) or UNPAID (mobile) across all pages. After a credit is used for an inspection, regenerating that report does not use another credit. Creating a new inspection does not copy that unlock.
iPhone: There is no in-app payment prompt. You can still download a PDF; it may include a watermark until you use a credit or subscribe on the web at app.swiftreporter.com.

Signed PDFs
If the inspection has already been signed, SwiftReporter prefers the signed copy when it is ready.
- Open the inspection or shared inspection.
- Click Download Signed PDF or Download when the signed copy is available.
- If the report was edited after signing, SwiftReporter may require a fresh signing round before the new version can be treated as signed.

Form PDFs
Form PDFs are separate from the main inspection report.
- Open the inspection.
- Open the Forms card.
- Open the attached form you want.
- Download or review that form PDF from the form view.
Form PDFs do not use the same watermarked-preview rules as the main inspection report PDF.
Customer portal and shared inspections
If you are a portal viewer or shared-inspection recipient:
- Open the customer portal or the shared inspection page.
- Use Review inspection, Sign now, or Download signed PDF depending on what SwiftReporter shows for that inspection.
Troubleshooting
- If the button still says Sign and Download, complete the signing step first.
- If a signed PDF is not ready yet, wait a few seconds and try the download again.
- If you see a message that the report changed after signing, start a new signing round for the updated version.
- If you only need a preview of the main report, click Download with Watermark (Free) instead of using a credit.
- If you expected a watermark-free file after the client paid an invoice, use a report credit or a qualifying subscription. Client payment does not unlock the SwiftReporter report.
